What is Delivery Tracking?

The Delivery module tracks every part that leaves your department. When parts go out to service, body shop, wholesale, or any other stop, the system logs what went out, who got it, and when. This keeps everyone honest and ends arguments about whether parts were sent.

Benefits of Delivery Tracking

  • Full tracking -- know what went out and where.
  • Proof of delivery -- scan to confirm with a timestamp.
  • No more disputes -- records for every delivery.
  • Delivery manifests -- neat lists for each run.
  • Real-time DMS updates -- inventory stays right.
  • Full history -- look up any past delivery.

Scanning Parts Out for Delivery

  1. Select Delivery from the scanner main menu.
  2. Select New Delivery or choose an existing delivery run.
  3. Scan each part barcode as you load it for delivery.
  4. The system logs the part and timestamp, and creates the delivery record.
  5. Assign the recipient (who the delivery is for).
  6. When all parts are loaded, select Start Delivery.
Tip:

Scan all parts before you leave the department. This builds a full record of everything going out on this run.

Assigning Recipients

Each delivery gets a recipient. Common types include:

  • Service Department -- parts going to techs for repair orders.
  • Body Shop -- collision repair parts.
  • Wholesale Customer -- parts going to indie shops or other dealers.
  • Retail Customer -- parts being sent to walk-in buyers.
  • Other Location -- store-to-store transfers or branch sites.

Creating Delivery Manifests

A delivery manifest is a printed or digital list of all parts in a delivery run. It works as both a driver guide and a record of what was sent.

The manifest includes:

  • Delivery date and time
  • Driver name (if assigned)
  • Recipient name and location
  • All parts with part numbers, names, and counts
  • Invoice or RO numbers

Printing a Manifest

  1. After scanning all parts, select Print Manifest.
  2. It prints from your scanner or a nearby network printer.
  3. Give one copy to the driver. Keep one for your records.
Tip:

You can also view the manifest on the scanner screen during delivery. Print a paper copy as backup in case of signal issues.

Confirming Delivery

When you get to the drop-off point:

  1. Pick the delivery from your active list.
  2. Scan each part as you hand it off (optional -- confirms each item).
  3. Select Confirm Delivery.
  4. The system saves proof of delivery with a timestamp.
Important:

Always confirm delivery in the system. If you don't, the parts stay marked "in transit" and your inventory will be wrong.

Partial Deliveries

If only some parts can be delivered:

  1. Scan the parts that are being delivered.
  2. Confirm delivery for those parts only.
  3. The rest stay on the manifest as pending.
  4. Bring the rest back to the parts department.

Delivery History

View all past delivery records in the ScanIt Parts web dashboard. Search by:

  • Date range -- see all deliveries in a time frame.
  • Part number -- find when a certain part was sent.
  • Recipient -- see all deliveries to a customer or department.
  • Driver -- view a driver's delivery history.

Use delivery history to settle disputes, spot delivery patterns, check timing for customer service, and review delivery work.

  • Send Out a Delivery: Delivery → New Delivery → Scan Parts → Assign Recipient → Start Delivery
  • Confirm a Delivery: Delivery → Select Active Delivery → Confirm Delivery
  • Print Manifest: Delivery → Select Delivery → Print Manifest

New Feature -- Dispatch Tabs: The Dispatch screen now uses a tabbed layout. The Scans tab handles truck bin scanning, while the Invoices tab shows invoices on the delivery. Swipe left on any part or invoice to remove it from the dispatch list.
